What we collect and why
Your chat with us
Your name and WhatsApp number, and the messages and photos you send us. We use them to reply to you, build your preview and keep a record of what we've agreed.
Legal basis: taking steps you've asked for before a contract, then the contract itself.
Your business listing
Your business name and postcode, and the public details on your Google Business listing: business name, address, phone number, opening hours, photos and reviews. We use them to build your free preview.
Legal basis: taking steps you've asked for before a contract.
Details for your website
Your logo, photos, services, prices, areas covered, opening hours, trade registrations, and the name and address for your website's legal footer. We use them to build and update your website. We check registrations you give us against the public register they belong to.
Legal basis: the contract.
Payments
Card payments are handled by Stripe. We see your name, email address, the last four digits of your card and your payment history, never your full card number. We keep payment records for our accounts.
Legal basis: the contract, and our legal duty to keep tax records.
Reminders about your preview
If you ask for a preview and don't reply, we may send up to three reminders about it in the following week. Every message tells you how to stop them, and replying STOP ends all messages from us.
Legal basis: our legitimate interest in following up a request you made, under the rules that allow businesses to contact people who have asked about their service.
Visits to this website
Our hosting provider keeps short-lived technical logs, such as IP address and browser type, to keep the site secure. This website doesn't use advertising or tracking cookies.
Legal basis: our legitimate interest in keeping the site secure.
Our automated assistant
Our WhatsApp assistant is automated. It uses AI (Claude, made by Anthropic) to understand your messages, reply, and write the text for your preview. A person handles complaints, refunds and anything the assistant can't. We don't make decisions about you by automated means alone that have legal or similarly significant effects.
Who we share it with
We use these providers to run Van2Net. They process information for us under contract:
- Meta (WhatsApp messaging, and our Facebook and Instagram ads)
- Stripe (card payments)
- Cloudflare (website hosting and email forwarding)
- Anthropic (the AI behind our assistant)
- Google (finding your public business listing)
We don't sell your information. We only share it with anyone else if the law requires us to.
Transfers outside the UK
Some of these providers process information in the United States. Where they do, the transfer is protected by the safeguards UK law requires, such as the UK–US data bridge or the UK International Data Transfer Agreement.
How long we keep it
- If you don't buy: we delete your preview 14 days after sending it, and your chat after 90 days.
- If you ask us to stop messaging you: we keep your number on a do-not-contact list so we never message you again.
- If you're a customer: for as long as you're a customer, then up to six years after you leave, to meet tax rules and time limits for legal claims.
Your rights
You can ask us to give you a copy of your information, correct it, delete it, limit how we use it, or move it to another provider. You can object to how we use it, and you can stop reminder messages at any time. To do any of these, message us on WhatsApp or email [email protected]. We'll reply within one month.
Complaints
Please tell us first so we can put things right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
